Agent that prepares job ads from the hiring request

Today

Each vacancy starts from an old ad pasted from a previous one, rarely up to date, and the German or English version takes days to follow.

With AI

As soon as a hiring request is approved, the agent takes the role description from SharePoint and previous ads, drafts the ad in the company’s tone and in inclusive language, adapts it into the languages needed and saves it as a draft in the recruitment tool. It creates the review task for HR, listing the sources it used. The HR manager checks the requirements, working hours and conditions, then publishes on jobs.ch or LinkedIn.

What to measureThe time between the manager’s request and the ad going live, and the number of review rounds.

Agent that receives and structures applications

Today

For one vacancy, dozens of applications arrive as PDFs in different formats and languages, and they get read in the evening between two urgent matters.

With AI

For every application received in Personio or the recruitment mailbox, the agent checks the documents, sends the acknowledgement using the approved template and drafts the request for missing documents. It presents the application in the same format for everyone (background, skills against the written criteria for the role, questions to ask) and saves it to the candidate record. It does not rank or reject anyone: the person hiring reads each application and alone decides what happens next.

What to measureReading time per application, time to first reply to candidates, and the discrepancies found between the summary and the original file.

Interview guides for technical and creative roles

Today

Hiring a developer or a designer means assessing skills the HR person does not master, and each interviewer asks their own questions.

With AI

On request, the assistant works with the technical lead to prepare a shared interview guide: role-specific questions, a practical exercise and the same assessment grid for every candidate. After the interview, it tidies up the notes the interviewers give it. Assessment and decision remain with the people who conducted the interview.

What to measureHow many interviews use the shared grid and how closely the interviewers’ assessments agree.

20

Agent that prepares employment references

Today

Employment references pile up when people leave, every phrase is weighed carefully and requests for changes come back often.

With AI

When a leaving date is entered in Abacus or Personio, the agent gathers the job title, dates and duties, sends the line manager the assessment form and follows up if needed. It then drafts the reference in your Word template, flags ambiguous phrasing and creates the review task for HR. The HR manager reviews, adjusts and signs; nothing goes out without that review.

What to measureThe time to deliver a reference after the request and the number of correction requests received.

21

Onboarding agent for seasonal and temporary staff

Today

At the start of the season or before the holidays, dozens of new people arrive at once, speak different languages and ask the same questions about shifts, uniforms or breaks.

With AI

For every new starter recorded in the HR software, the agent prepares the onboarding checklist for the role, creates the requests for uniform, badge and access, and drafts the programme for the first days in the person’s language. During the first weeks, it answers questions in Teams about shifts, uniforms or breaks, quoting the staff regulations or the applicable collective agreement. Anything about contracts or pay is passed on to HR, who also approve each programme before it is sent.

What to measureThe number of repetitive questions reaching HR and team leaders in the first weeks, and the answers reported as inaccurate.

Tools Personio, Abacus or scheduling software, Microsoft Teams, SharePoint, Power Automate or n8n, staff regulations and collective agreement as PDF·Sectors Hospitality, Retail

22

Agent that prepares variable pay items for payroll

Today

Every month, overtime, absences, allowances and changes in working hours arrive by e-mail or spreadsheet, and a mistake is often found only after the payslip has gone out.

With AI

On the cut-off date, the agent gathers the month’s hours, absences and allowances from time recording and the mailbox, checks them against the written contract rules and lists the points to verify: an absence without a certificate, an allowance outside the regulations, changed hours without a contract amendment. It drafts the requests for supporting documents to line managers and an import file awaiting approval, without entering anything in Abacus or SwissSalary. The payroll administrator checks, completes and imports; a fiduciary firm can use the same agent for its clients’ payroll.

What to measureThe number of payroll corrections after payment and the time spent on monthly checks.

23

Agent that organises cover for unplanned absences

Today

In a care unit or a warehouse, every last-minute absence means redoing the schedule by hand, taking into account qualifications, rest periods and everyone’s wishes.

With AI

As soon as an absence is reported, the agent reads the current schedule, the qualifications and the rest rules you have defined, and offers the team leader several cover options that respect them. Once an option is chosen, it sends the requests to the people concerned, updates the schedule when they accept and logs every change. Nobody is called in without the team leader’s approval.

What to measureThe time needed to cover an unplanned absence and the number of rest-rule breaches found afterwards.

24

Safety induction agent for new starters

Today

On building sites and in workshops, safety instructions sit in a binder in one language, and newcomers sign them without always understanding them.

With AI

When a person starts on a building site or in a workshop, the agent assembles the approved materials for their role (your instructions, safety data sheets, Suva documents) in their language and sends them a comprehension quiz. It follows up if the quiz goes unanswered, records the result in the instruction register and informs the team leader. The safety officer approves each document before it is used; on-site instruction is still given by a person.

What to measurePass rates on the comprehension quiz by language and the time between a person’s arrival and their full instruction.

Tools Microsoft 365 Copilot agent or ChatGPT Business with connectors, DeepL, SharePoint, Microsoft Forms, Suva documents·Sectors Construction, Manufacturing

In short

In HR, an AI agent takes on the steps that follow an event: an application received, a new starter, a departure, the payroll cut-off. It reads the file, consults Personio, Abacus or SwissSalary, the mailbox and the calendar, then prepares the action: a complete application record, a welcome programme, a draft reference, a list of items to check. It logs what it does and waits for HR approval on anything that commits the company. It makes no hiring decision, rejects no candidate and takes no measure concerning an employee. We set its access rights so that staff data stays with the people authorised to see it.

Points to watch

Candidate and staff data is personal data, sometimes sensitive (health, disciplinary matters). Art. 328b of the Code of Obligations limits its processing to what concerns suitability for the job or the performance of the employment contract, and the nFADP applies on top. The Gender Equality Act prohibits discrimination on the basis of sex, including in hiring: a tool that compares profiles can reproduce bias, which is why a person reviews every decision. An agent acts only with the rights it is given, and its actions are logged. The tools we select make it possible to comply if data is not used for training, hosting is documented and access is limited to authorised people.

Can an AI agent screen applications for us?

No, and we do not set it up that way. The agent checks that the application is complete, presents it in the same format as the others against the written criteria for the role and prepares the request for missing documents. It does not rank or reject anyone: every application is read by a person who decides what happens next. Automatic elimination would expose the company to bias that is hard to detect and would raise questions under the nFADP. We document what the agent does and what it does not do.

Can we put personnel files into ChatGPT or Copilot?

Not in a consumer version. With a business plan that excludes training on your data, documented hosting and access rights limited to HR, some uses become possible. We start by defining with you which data may go into the tool, which stays in Abacus or SwissSalary, and who has access. That rule is written down and explained to the teams concerned.

What is the difference between an AI agent and an assistant, and where to start?

An assistant answers when you ask it a question or drafts a text on request. An agent starts from a trigger, for example a new starter recorded in Personio, works through the steps in your tools and hands you a result ready for approval: equipment requests created, a welcome programme in draft, a reminder in the calendar. A small team often starts with a ready-made agent in Microsoft 365 or ChatGPT Business, tried out in an AI Workshop on a single process, before connecting it to payroll software.

Choose your first use cases.

In half a day or a day, the AI Workshop sorts your ideas and keeps three, tested on your own documents.
