Direct answer

In a property management agency, AI handles the repetitive writing around your management software: answering tenant requests, explaining a heating and ancillary cost statement, turning notes and photos into a clean handover report. Amounts come from your software; AI drafts, the property manager approves.

Tenant requests and damage reports

The assistant reads tenants’ e-mails (broken dishwasher, noise, a question about the rent), sorts the request, drafts the reply and, for damage, the work order for the usual contractor. The property manager approves or corrects.

What we measure — Time to first reply and the number of tenant follow-ups.

Explaining heating and ancillary cost statements

Every year the same questions come in after the statements are sent. Using the figures from your software, the assistant prepares a clear cover letter per building (what changed and why) and replies to individual questions.

What we measure — The number of objections and requests for explanation after statements are sent.

Clean handover reports

After the inspection, the assistant turns the notes and photos into a structured handover report, room by room, listing the defects found. The property manager checks, completes and has it signed.

What we measure — Time to send the report, and disputes about the defects recorded.

Tenancy law (Code of Obligations and its ordinance) governs cost statements, rent increases and terminations: any text prepared by AI is always reviewed by the property manager. Tenant data falls under the nFADP; the tools we select make it possible to comply if that data is not used for training and access is limited to the buildings concerned.

How much does it cost for an SME?

A half-day workshop on your own cases: from CHF 1,900 excl. VAT. To roll it out with your teams: a subscription from CHF 1,800/month (10 h), three months minimum, or a fixed-price engagement on quotation. Details are on the pricing page.

Do we need an AI manager?

No, not in an SME. What works: a contact point who validates usage, not a dedicated role.
